Frequently Asked Questions - FAQ's

How do I install Complete Time Tracking Professional?
  1. Download and install the server program on a single computer (the server). This can be a dedicated server computer or a users computer. The computer that you install the server program on needs to be turned on for users to connect and record their time. The server must be running any version of Windows NT4 with Service Pack 6 or later, 2000, XP, 2003 or Vista. Install the server program as you would any normal program. It should not be installed onto a network drive. The central access for users is done using a network connection, not a file share (see below).
  2. Download and install the client program on all other user computers (clients).
  3. When users run Complete Time Tracking they will be presented with the login window. The name or IP address of the server computer must be entered in the Server field.

The name on the server computer can be found by selecting System from the Control Panel and checking the Computer Name. For example: server01 or server01.mycompany.com

Alternatively you can find the IP address on the server computer by selecting Network Connections from the Control Panel, right-click the network adapter and select Properties, then select Internet Protocol (TCP/IP) and select Properties. For example: 10.0.0.1

How is the database shared in Complete Time Tracking Professional?

A special Windows Service application is installed and runs on the server computer which listens for connections from client computers across the network. A TCP/IP connection is established from the client (user) computers to the central server computer on TCP port 18200.

The central database storing all user, category and recorded time information is installed on the server computer and accessed only by the special Windows Service application through commands sent to it by the client computers, such as "save this recorded time", "tell me all recorded time on this date for this user", and so on. Complete Time Tracking Professional does not use a network file share.

Note that if you use a firewall computer or firewall software then please ensure that you allow the server to listen for and accept TCP/IP connections on port 18200 and clients to connect using TCP/IP to the server.

How many users does Complete Time Tracking Professional support?

There is no limit to the number of user accounts that you can create.

In version 2 a single server supports up to 500 simultaneous users. In version 3, which can be configured to use temporary database connections, the number of simultaneous users can be many times that and is limited only by the server hardware. You can have multiple servers.

The database server process has low memory utilization even with hundreds of connections.

You can see the number of current connections and server memory usage using the Server Mananger application or Server Status function in Complete Time Tracking.

Should I uninstall before upgrading?

You can install a new version of Complete Time Tracking Standard or the client software of Complete Time Tracking Professional without uninstalling the previous version.

If you are upgrading the server software of Complete Time Tracking Professional you should uninstall the existing version before installing the new version.

When uninstalling the Standard edition or the server software of the Professional edition you will be prompted if you would like to keep your time tracking database during the uninstall process. When you install the new version the previous database will be detected and automatically upgraded if necessary. See the upgrade guide for more information.

Please note that if you are using Complete Time Tracking Professional then it is likely that you will need to upgrade both the server and all clients (the versions and compatability will be checked when Complete Time Tracking is started and you will be informed if an upgrade is required).

Are there any restrictions to the number of categories or time entries?
The theoretical limits are 2 billion categories and time entries and a maximum size of 64 Terabytes of data. There are no practical limits to the number of time entries but there is a practical limit of around 50000 categories (you can have more but reports may take up to a minute to run).
How can I change the format of the time durations when exporting to Excel?
You can change the duration display format from the program options dialog. Select Menu, Tools, Options.
I get an error message saying "Your clock appears to have been set back"

This is a protection mechanism against one common trick which works with some time-limited software where a user can set their clock back to avoid reaching the end of the trial period. The error can sometimes be triggered if adjustments are made to your computers clock.

If you would like to extend your trial period then please request a trial period extension from us.

If you legitimately changed your clock or you are not sure why you received this error then please request a clock check fix from us.

I bought version X.YZ on MM/DD/YYYY. Am I entitled to a free upgrade?

We offer free upgrades to all minor versions and a 3-month purchase protection for major version upgrades. Please see the upgrade policy in the purchasing FAQ for full details.

Upgrading major versions is optional. If you choose to upgrade you will find our upgrade prices very reasonable, typically 60% off the regular price.

What is the default system administrator password in the Professional edition?

The system administrator login has the following default details:

User Name: admin
Password: admin (case sensitive)

We highly recommend that you change the administrator password upon first login.

Can I print reports to PDF?

We plan to add direct PDF report printing in version 3. For version 2 we recommend using the free PDF Creator printer driver to generate PDF based reports.

PDF Creator installs a virtual printer, allowing you to print any document to PDF, a report from Complete Time Tracking or documents from other applications such as Microsoft Word. When you print to the PDF Creator printer you will be prompted for the filename of the PDF file.

Download and install either the AFPLGhostscript or GNUGhostscript setup program for PDF Creator and when printing your report select the PDF Creator printer if you have multiple printer drivers installed.
